Configuring: Importing or Exporting a list of email addresses as forwards

Answer/Solution

The Import / Export feature on the Address Management page enables you to import email addresses/destinations from a CSV or text file into the Forwards list for any mailbox. It also allows you to export these external email addresses out to a file.

To import a list of destinations to be used as forwards:

  1. Log into MailCentral, select the mailbox you wish to edit, and click Edit.

    or

    For Administrators and mailbox owners: Go to Address Management page, enter the mailbox name and password.
    The Address Management page is displayed.

  2. Expand the Import/Export section by clicking the "+" icon.
  3. Click Import Destinations. The Import Destinations page is displayed.
  4. Enter the following information on this page:
    1. File Type - from the drop-down box, choose the file type of the file being imported. The CSV format is typically used when saving a file from a spreadsheet or Outlook.
    2. First row contains column description - if the file was saved from a spreadsheet, typically the first row will have column descriptions, and not data that you want to use for import. If so, select this box.
    3. Column Containing Email Addresses - if the file was saved from a spreadsheet, the data may be stored in a particular column. Enter the column letter here. If the file is of type text, enter "A".
    4. Overwrite Options - select Add to existing destinations if you wish to preserve the list of addresses already in the Forwards section of this mailbox. Select Overwrite existing destinations if you wish only the imported destinations in the list of Forwards for this mailbox.
    5. File to import - click Browse and find the file you wish to import.
    6. Click Import File. The Import Destinations page is displayed.
  5. Verify that the data is being parsed correctly, then click Import Destinations. The Address Management page is displayed with the Forwards section expanded. You should see all the destinations from the file listed here.
To export the list of destinations from the Forwards section to a file:
  1. Log into MailCentral, select the mailbox you wish to edit, and click Edit.

    or

    For Administrators and mailbox owners: Go to Address Management page, enter the mailbox name and password.
    The Address Management page is displayed.

  2. Expand the Import/Export section by clicking the "+" icon.
  3. Click Export Destinations. A dialog - Opening export.csv is displayed.
  4. Select Open with and the program to open the file from the drop-down box.
  5. View the data in the spreadsheet to verify that it was exported correctly.
  6. Save your file.
